Reports to:  Autism Clinic Supervisor 

 

Job Summary:

The Clinic Administrator I will be responsible for providing administrative support services to ensure the smooth and efficient operations of the clinic. The role requires the individual to perform a wide range of duties including parent check-in, checkout, scheduling for the clinic, administering group snack, lunch, and providing RBT direct service coverage as needed. The administrative assistant must have excellent communication and organizational skills, as well as a strong commitment to providing high-quality service to patients and their families. The Clinic Administrator I will report to the Clinic Administrator II and work collaboratively with other staff members to provide excellent service to patients and their families.

Essential Duties Include the Following:

  • Open clinic 2-3 times per week (7:45 am)
  • Close clinic 2-3 times per week (7:00 pm) 
  • Greet parents and children, check-in and check-out patients, and direct them to the appropriate location
  • Adjust RBT schedules as needed to ensure coverage
  • Administration of medications for clients as needed
  • Opening, scanning, and sending mail to appropriate recipients
  • Assist with coordination of group snack and lunch times for patients
  • Coordinate and assign RBT Clinic maintenance tasks for each RBT at the end of their session
  • Order and maintain inventory of office and kitchen supplies
  • Monitor and maintain clinic cleanliness and organization
  • Provide support to the clinical team as needed
  • Assist in the preparation of materials for therapy sessions
  • Maintain confidential patient files and records
  • Answer phone calls and respond to inquiries in a professional and courteous manner
  • Coordinate with Clinic Administrator II to secure substitute clinic administration coverage as necessary
  • Provide direct service to clients as a substitute RBT when needed, including providing longer-term case initiation support to establish a supportive entry for new patients and technicians coming into the clinic. 
  • Provide administrative support to the Clinic Administrator II
  • Perform other duties as assigned by the Clinic Administrator II

Supervisory Responsibilities:

  • This position does not include any supervisory responsibilities

Required Skills and Abilities:

  • Experience with Materials Office preferred
  • Knowledge of basic office procedures and equipment
  • Ability to maintain confidentiality and exercise discretion
  • Excellent interpersonal and communication skills
  • Strong organizational and time-management skills
  • Ability to work in a fast-paced environment and handle multiple tasks simultaneously
  • Comfortable working with children and families impacted by autism
  • Must be able to pass a background check and drug screening

Education and/or Experience:

  • Registered Behavior Technician (must maintain certification)
  • High school diploma or equivalent required
  • Previous administrative or receptionist experience preferred

Writing Skills

Ability to produce careful documentation for employee human resource files, in accordance with best practice. Ability to write in English and produce written material with appropriate grammar preferred. 

Language Skills

Ability to effectively communicate information and respond to questions from your direct supervisor, employees, job candidates and community partners when appropriate.

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Reasoning Ability

Ability to interpret a variety of instructions furnished in written, oral, pictorial or schedule form. Ability to demonstrate good judgment and efficiency during decision-making

Other Skills

  • Ability to work collaboratively with others. Ability to prioritize tasks and demonstrate efficient use of time. 
  • Ability to portray a professional, polished appearance and communication. Excellent technological skills and ability to learn new systems quickly using cloud based servers, software and online applicant tracking systems.
